Commencement: Monday 21 June 2021 Duration: Approximately 13 weeks

Role Purpose

We are a creative team of engineers, designers and technical specialists. We provide innovative solutions to complex engineering and design challenges for buildings. Irrespective of the scale or complexity of a project, we provide a full range of mechanical, electrical and public Health (MEP), environmental and sustainability services, bringing buildings to life and ensuring that they perform in operation as well as they look.

Our Technical Control (TC) Group produces standard documents, tools, policies and guidance that make an important contribution to managing the firm’s technical risk, improving productivity and efficiency, and helping our engineers to produce the high-quality designs on which our reputation is based.

Our Digital Engineering (DE) Group drives the firm forward as world leaders in the digital design and operation of buildings by developing our offering of digital engineering, embracing innovation and providing a wide range of software tools, guidance and services to assist our people and clients in making well informed design decisions, quicker.

This role will provide administration support to the engineers, developers and management of both these groups, in addition to requiring collaboration with other operational departments known as Central Management Groups (CMGs).

Key responsibilities

General

General administrative duties, e.g. assisting with formatting documents, printing, copying, internal forms etc in accordance with corporate processes.

Setting up meetings and arranging meeting rooms and catering as necessary, with attendees from across the firm and in other offices.

Assisting with routine aspects of internal communications (utilising various communication channels such as Yammer, Sharepoint and emails etc)

Building and formatting Sharepoint pages using standard templates

Helping co-ordinate training sessions and events.

Drafting team meeting minutes / notes

Uploading of content to Sharepoint and central filing areas

Collating and preparing content for email newsletters, presentations and reports.

Technical Control Group

Checking functionality of standard specification templating following standard procedures.

Checking currency of standards references in documents prior to them being updated by a member of the team, by referring to the British Standards Online (BSOL) portal.

Monitoring and recording status / publication of documents, tools and resources. Managing lists of current users for our subscriptions to on-line document libraries.

Collating analytics on usage of published resources.

Digital Engineering Group

Assisting the team in organising sprint-related meetings and events (team planning sessions, retrospectives, demo sessions, stakeholder engagement sessions)

Collating content and imagery for best-practice digital engineering design across the firm

Person specification

You will be an enthusiastic, diligent and hardworking individual with excellent attention to detail and a “can do” attitude. Organisation and prioritisation skills are essential as are good verbal and written communication skills.

Working for a Partnership, adaptability and flexibility is very important, as is a willingness to get stuck in. You must have strong interpersonal skills and an ability to build relationships at all levels.

In terms of technical skills, you must be competent in Excel, Powerpoint, Word and SharePoint, as well familiarity with Microsoft Teams and other apps in the Office 365 suite such as OneNote, Stream, Yammer, Forms and Power BI. The ability to quickly upskill and become competent in new processes and software is essential.

Based in the Bristol office you will be working predominantly with remotely based teams which will require you to be a proactive and confident communicator.
