Overview / Responsibilities

Wood. are recruiting for a Technical Administrator to be based on site at the Project Site Office at Wimbledon Substation as part of the UKPN ED1SON Alliance.

You must live local or within a commutable distance of SW17.Purpose / Role

* To provide administrative support in the daily performance and operation of the Document Management Centre, to meet the needs of both the client's organisation and Wood.
* To read, understand and implement the Company’s Health Safety Environmental and Quality Policy and the arrangements described in the Company Management System documents
* Have awareness of the Health and Safety at Work Regulations which relate to the project site practices
* Support the Project Management and Project Team with administrative requirements
* Monitor incoming calls for the Project Team and take appropriate action
* General Administration duties (photocopying, filing, scanning, taking and distributing minutes, assistance with the preparation of documents, reports, etc.)
* Liaise with project personnel to ensure that all project documentation and files are centrally located, accessible and up to date
* Archive files and documents as requested
* Ensure rescinded/superseded documents are managed and tracked
* Support control of documents associated with Quality Control
* Document numbering
* Completion of closeout documents

Key aims and objectives

* To ensure that the administrative requirements of the project are met effectively

Prime responsibilities and duties

* Process administrative documentation received in accordance with prescribed matrices within agreed timescales
* Assist completion of requests, searches and queries from any project personnel
* Liaise with engineers, clients, suppliers or third company companies as required
* Proactive diary management for Project Management Team
* Create and issue weekly / monthly report
* Take minutes at meetings as and when required and distribute
* Generate Wood./Project associated forms (i.e. personnel Requisitions, New start forms, Travel Requisitions, Change Control, Interim Review)
* Arrange hardware/software, furniture etc for new starts joining the project
* Update contact list, seating plan, Project distribution list with new starts / leavers
* Liaise with Office Services for any office moves
* Arrange external meetings for project personnel
* Arrange lunches when required
* Ensure project holidays are arranged, recorded and subsequent holiday cover is arranged.
* Collate expenses for approval and distribute appropriately
* Ensure that stationery levels are maintained using the Corporate Materials System
* Assist with preparation of project documents
* Maintain accurate filling system for project letters, reports etc
* Maintain Project SharePoint site
* Raise plant and material requisitions on Siteman
* GRN in Siteman, when materials / plant received
* One and off hiring of plant
* Monitor plant costs in conjunction with Construction / Contract Manager
* Input of weekly timesheets
* Input tracksheets
* Respond to invoice queries on Siteman, raised by EUSS

Skills / Qualifications

Essential:

* Educated to GCSE Grade C and above (Technical/Engineering, English, Science, Maths) and/or NVQ 3
* Proven experience in a similar admionistrative or document control role
* IT Literate in major software packages (MS Office, Word, Excel etc)
* Living local or within a commutable distance to SW17

Desirable:

* Information Management
* Computer qualifications
