Position: Quality Assurance Controller

Division: HQ

Location: Victoria Street, London

Safety Critical Role: No

Reporting to: Head of Assurance

Purpose of the Role

To provide support in managing the Quality Assurance activities through controlling and managing a structured, measurable, accessible Document Management System for the Company in line with company standards, and assist in maintaining SharePoint based systems, licenses, certification and monitoring compliance. Communicating changes or updates both internal and external that affect the Document Management System

Key Success Measures

Safety & Ethics- Actively support on developing and maintaining the Safety Risk profile for Colas Rail Limited and lead on managing the Document Management System.

Excellence- Deliver efficiency through continuous liaison with key stakeholders to keep information and processes within the Document Management System up to date and fit for purpose. Proactively add value to Document Management System through enhancing the user experience of accessing documentation and information, and ensuring documents are in the current format and in line with company standards.

People- Demonstrate respect for colleagues, our clients and the environment in all areas of work.

Key Areas of Responsibility & Accountability

* Manage DMS (manage Review Index, upload, withdraw, archive documents)

* Manage hyperlinks on Colas Rails Intranet Safety & Sustainability related pages, including the DMS page and Certification page.

* Compiling and communication of the changes to the DMS through the monthly Document Briefs

* Produce monthly Performance Graphs showing overdue documents by owner/department

* Coordinate review of Network Rail and RSSB Standards via Lead Engineers

* Coordinate review of other external standard consultations requests

* Manage product codes and information on RISQS portal

* Manage distribution of internal and external Safety Alerts/Bulletins and maintain a register

* Manage distribution of internal and external Safety related Communication Newsletters etc.

* Create & submit Requisitions/POs and chase to ensure invoices are processed

* Manage allocation of costs with relevant divisions

* Support S&S team (Performance Analyst and Safety Systems Coordinator) with developing and maintaining Power BI Performance Dashboards.

* Support business divisions on developing fit for purpose procedures in line with company standards

* Assist in developing/writing Procedures where required

* Assist in conduction internal audits when required

* Assist in chasing overdue actions from audits and maintaining NCR register

* Review Quality Close Calls and identify trends

* Develop and maintain Best practice and Improvements Register

* Run annual survey of efficiency of DMS

* As you will expect the organisation may change from time to time and you will be expected to meet the operational requirements.

* Any other reasonable duties as required from time to time.

* Learning new Business Systems to support the business

Person Specification

* Computer and IT Literate and understanding of document control systems and Intranet SharePoint site capabilities

* Knowledge and understanding of Rail Industry and standards structure

* Ability to work on own initiative with high level of self-motivation and time management skills.

* Experience of using Power BI to graphs and incorporating them into SharePoint (desirable)

* Internal auditing experience (desirable)

* Ability to plan and organise time effectively to achieve the requirements of the role

* Build strong relationships with key stakeholders

* Good communicator at all levels, both oral and written

* Proven record of delivering to targets and deadlines

* Demonstrate polite, enthusiastic, helpful and professional approach at all times
