Overview / Responsibilities

Wood is currently recruiting for a Project Senior Secretary / Administrator to join us in Reading until July 2019, providing a comprehensive secretarial and administrative service to our overseas Client team on a major oil and gas project.

Must be fully conversant with MS Word, Excel, Powerpoint, Microsoft Outlook

The primary requirement of this role will be the support of Client team personnel (overseas nationals’ resident in Reading) including general information on living in the local area.

In addition, the role will include the following:

* Diary management
* Arrange in-house meetings and organise refreshments as required
* Set up and maintain filing system
* Receive incoming mail by post
* Receive visitors where appropriate
* Type correspondence, minutes, procedures, presentations, reports, documents etc. where terms may be technical or complex; adjust spelling, punctuation and grammar as appropriate
* Combine material from a number of sources in order to produce reports and distribute as required
* Screen incoming telephone calls; where appropriate answer routine queries and/or refer to alternative source
* Prepare graphical material for presentations including slide shows
* Organise and maintain stationery supplies
* Organise courier services as required
* Be central point of contact for all visitors to project
* Provide absence cover for Project Personal Assistant as required

Skills / Qualifications

* Good PC skills required
* Must be flexible and able to work on own initiative
* Good verbal communication skills
* Attention to detail
* Proven administrative experience
* Numerate
* Familiar with living in the UK
* Experience of working in a fast pace environment
