VolkerFitzpatrick is part of VolkerWessels UK, a multi-disciplinary construction and civil engineering group operating across the UK in six operating companies.

We are now looking for a Deputy Office Manager to join us at the VolkerFitzpatrick Luton DART project.

The Office Manager is responsible for the smooth running of the office premises and the carrying out of the administrative duties. They shall oversee and manage the organisational, administrative and support activities for the project.

Key Responsibilities

* First point of contact for internal and external enquiries including opening, filtering and replying (if applicable) to internal and external mail/emails

* Organisation of various meetings.

* Assist with the production of reports. Full diary management Ability to work with highly sensitive and confidential information

* Organisation of internal and corporate social events and client joint venture workshops

* Monthly mileage and expenses claim forms and possibly time sheets where applicable.

* Manage the filing system including scanning and coding of site documentation and archiving

* General secretarial duties, photocopying, stationery and any other duties as assigned

* Process invoices / delivery notes including scanning and coding of invoices, file delivery tickets and copy orders etc.

* Process sub-contractor payments i.e. labour only and plant operators in association with QS Raise orders for labour and plant hire

* Purchase card holder, procurer of site teams

* Greet visitors and ensure meeting rooms are set up and refreshments are provided.

* Recording office expenditure and managing the budget

* Ensure that the Health and Safety notifications are displayed and observed

* Liaise with HR and ensure personnel records are correct and up-to-date, i.e. Sickness recording and holidays are recorded on Workspace.

* Serve as a member of the projects management team: attend and actively participate in management meetings, staff meetings, administrative meetings, training sessions and seminars

Skills and Experience

* Educated to O/GSCE Level standard or equivalent including English and Maths

* Previous secretarial and administrative experience working for Senior Managers / Directors.

* Excellent communication skills including written English and ability to compile own letters.

* Excellent IT skills including; Word, Excel, Powerpoint, Access, E-Mail and Internet Excellent telephone manner.

* Ability to use initiative.

* Discretion and confidentiality.

* Time Management skills.
