Job Summary

The Project Administrator is a key/essential role within the project team. This role will be responsible for ensuring the smooth day to day operations in a fast pace, challenging and rewarding environment.

A key aspect of the role will be to support the project management team in the deployment of a stakeholder reporting which could include visual displays which are relevant and engaging.

Reporting to our senior project manager, your responsibilities will include but not be limited to; Job Duties:

*

Stakeholder visual aids, working directly with the senior project manager.

*

Promoting a fixed repeating schedule environment within the team to ensure a structured approach is maintained at all times.

*

Diarising key month end reports and ensuring timely submissions, with support to ensure formats and quality are in place. This task will be a collective responsibility of the team, though championed by the Admin & SPM roles.

*

Organising and managing Project Folders, central database and directory in conjunction with our Document Controller

*

Management of staff profiles, including CV’s, photographs, organisation charts, training, CSCS registers, etc

*

Providing administrative support to the Commercial Manager/Project Manager

*

Arranging meetings and visitors to the site and to the construction site and any servicing requirements

*

Expense Claims for senior management personnel

*

New starter inductions, introductions and facilities set-up

*

Ordering new staff phones and computers including scheduling of repairs, etc.

*

Photocopying/scanning/binding of documentation in conjunction with our Document Controller

*

Occasional chasing of our project team to complete overdue tasks where required.

*

Organising and scheduling meetings, including sourcing meeting rooms for client meetings, minute taking and issuing of key agendas and reports.

*

Booking business travel arrangements and processing expenses on Oracle.

*

Maintaining a tidy electronic filing system in conjunction with the Document Controller.

*

Ensuring software’s are up to date and running.

*

Ordering via advantage – IT Kit, Mobiles – which also includes liaising with Storm our supplier or AECOM IT, ensuring approvals are given for the kit

*

Producing Power Point presentations and Excel spreadsheets as required

*

Staff Induction and new starter HR paperwork on 1st day copies of paperwork

*

Logging holiday for the team on the resource sheet – flagging when there are clashes at all staff levels

*

Ensuring team emails distribution lists are kept up to date

You will work collaboratively with a talented team of:

Multidisciplinary project management

*

Design & Technical professionals

*

Construction Management staff

*

Commercial management

*

Client team members as required

Minimum Requirements

*

Proficient use of word, excel, power point

*

Administrative support experience

*

Excellent communications and organizational skills

*

Strong interpersonal skills, ability to negotiate and solve problems

Preferred Qualifications

*

Experience of working on a nuclear license site

*

BPSS or SC security clearance level

*

Ability to adapt to a fast paced environment.

*

We are looking for a qualified and competent administration resource who has previous experience on multi-discipline EPCM projects in a regulatory compliant environment
