DESIGN THE FUTURE WITH A GLOBAL TEAM OF EXPERTS

We are looking for someone who can manage the daily operations of our Uttoxeter office as well as offer administration support to our Bid Support team. Working alongside both teams you will support UK FM, ensuring that the office facilities, services, and environment is operating following the

COWI Global FM standards and procedures. You will also be working with the Bid Support Team, providing co-ordination and quality control functions for bid related material.

On a day-to-day basis, you'll be responsible for:

Office Operations

* Operating all FM service functions including desk management, new starter set ups, reception, meeting rooms, off site storage facilities, waste management, occupational health and safety, catering services and post/courier services

* Oversee the daily operations of the building/office liaising with approved COWI sub contractors

* Manage stock replenishment, for example: sundries, canteen services (milk, fruit, coffee, tea, water) stationery, cleaning supplies

* Create a customer focused environment, focusing on the aesthetics of the office, the atmosphere and the service provided

* Ensure that the office operates and complies with the IMS, focusing on occupational health and safety and waste management.

* Where required, submit office specific FM invoices and expenses

* Help to set up new workstations, onboard and welcome all new COWI starters to the office.

* Assist HR/IT with COWI team members leaving the business.

* Help to assist and organise office social events.

* Book travel and car hire both within the UK and globally seeking support from the UK Travel Manager where required.

* Book training courses.

* Participate in Group FM improvement and development projects as and when required by the UK FM and SVP for Group Procurement & FM

Bid Support Team

* Ensure project sheets are created and updated using information supplied by the engineering staff in conjunction with COWI graphic design centre

* Co-ordinate the revision of CVs and provide a quality control function

* Manage the procurement of business cards for all UK staff

* Support the wider Bid Support Team in the management of the bids email inbox

Furthermore, you'll:

* Have previous experience working within an FM office environment which a focus on an efficient customer-orientated service

* Understand office operations, occupational health and safety, global FM standards, and IMS

* Previous experience working in an office administration role

* Strong communication (written and spoken) and teamwork skills, with an attention to detail

* Experience following procedures and standards which will ensure that the office environment is a safe and desirable place to work as well as reflecting the COWI brand and service to external customers

* Proactive work ethic, foreseeing local office needs, and being to react and respond in a timely and efficient manner

* Experience and confidence in using Word, Excel, Outlook, Teams, etc. and an understanding of basic office IT services/operations

* The ability to manage time and prioritise tasks

* Embody and demonstrate the COWI values in all relationships and tasks
