Maintenance Coordinator, Brussels (6519)

Job Purpose

To Ensure that all Staff Residential properties are compliant to the FCO standard. To ensure that all properties all through the FCO Estate are to the site specific schedule of works and ensure delivery is in line with contractual obligations.

Responsibilities

* The FM Maintenance Coordinator will coordinate and implement the requirements to ensure all aspects of safety is at, or better, than the requirements of current legislation and the Best Practise Guides.

* Responsible for the delivery of planned preventative maintenance (PPM) within all sites.

* Planning and co-ordination of Hard Services works with the local team and supply chain.

* When the PPMs have been completed by the Interserve Technician/Contractors, to complete the PPMs. To make sure that the PPMs is planned within the time scale.

* Follow up and managing of all PPMs Remedial Works Orders such as ESTREQ, INPRGRS, APPR, etc. Ensure that the log is updated on Maximo as well as if an extension is needed.

* Organise Works order (PPMs Fixed Fees Remedial works) with contractors, Technicians and if needed request Call Out through the relevant systems., To Ensure that the start/finish date is updated on Maximo as well as the lead, if it is a Landlord responsibility, to contact and follow up with the Landlord as well as keeping the client informed. If no action is taken from the Landlord to send a registered letter if the matter is urgent such as a blockage/boiler failure.

* Request Estimate from Contractors on Works orders (Remedial Works Order) on Status EST REQ and process on Maximo from EST REQ to FINREV.

* Raise Maximo POs on New Works following a PPMs Remedial works. As well to organise appointments with Contractors as well as organising appointment with the customers.

* Ensure that all PPMs, certificates and all related document are save on the Interserve Shared drive.

* Provide data’s prior to the Monthly Report such as any progress on PPMs, Remedial Works, Proactive Maintenance Initiatives, Operational Issues, Contractors’ meeting feedback, compliments, etc.

* Development of positive working relationships with specialist contractors and supply chain.

* Request feedback from Client when a PPM is completed and to ensure that the maintenance has been done.

* Admin Support to the FM Manager.

* Back up Receptionist for the Embassy & Nato.

* Ensure the management, monitoring and control of all PPMs works orders in complete adherence to contractual obligations, policy and procedure and in accordance to contractual SLAs and KPIs.

Person

* Written/spoken English and French are essential, Dutch would be an advantage.

* Articulate, professional with excellent customer services skills

* Be prepared to attend all relevant training sessions and meetings.

* Excellent interpersonal skills are essential.

* Excellent communication skills, written and oral

* Demonstrated ability to communicate effectively at all levels, including internal and external customers, co-workers, suppliers, partners and subcontractors.

* Ability to maintain very high levels of confidentiality is essential.

* Proven ability to prioritise work, working within tight deadlines, and multi-tasking, namely planning, organising and monitoring several activities at the same time.

* Good decision making and problem solving abilities is essential.

* Articulate and organised to ensure, business documentation is maintained, and kept in line with company policies and procedures and contractual obligations and requirements.

* Attention to detail and strives for operational excellence.

* Must have a sound understanding of quality management systems, information management systems and databases

* IT literate with an advanced level of Microsoft Office applications.

* Capable of working under pressure with minimum supervision.

* Logical, self-starter able to work with minimal supervision.
