Business Administrator

RPS is looking for an experienced Administrator to support our Ecology team based in Cambridge. We undertake ecology surveys and deliver cost-effective, innovative solutions to mitigate impacts on local habitats for all terrestrial, freshwater, coastal and marine environments. By joining us, you will be part of a leading global multi-disciplinary consultancy. We specialise in all areas of the built and natural environment, shaping the future of our environmental, social and economic landscapes

Your role

Supporting the Office Manager and our team of ecology consultants you’ll be working on a wide variety of administrative tasks including the IMS, facilities, finance, HR and H&S and you’ll be the first point of contact for the office including phones, welcoming office guests and preparing meeting rooms and office events. Other key duties will include:

-Collating information for bids and tenders and assist with document preparation.Editing, formatting, collating, copying and binding technical reports and other documents for the wider team
-Support the electronic time recording system ensuring all time and expenses are entered correctly on a weekly basis
-Management of all purchases, hire cars, accommodation and mileage sheets
-Coordinating training events and assisting with staff training management and keeping staff training records up to date
-Interfacing with other section heads and Directors to ensure appropriate use and deployment of staff and resources to meet the team’s operational and project needs
-Manage stationary orders, post and courier collections/deliveries

Your skills and experience

You will have a solid background in administration and secretarial skills with proficiency in all Microsoft packages including sound working knowledge of Excel. You’ll need to be confident when dealing with Senior staff, Head Office and external clients etc and have the ability to manage and prioritise workloads and daily tasks to ensure deadlines are met. You’ll have great communication skills (both written and verbal) and be a strong team player who is both flexible and approachable
