Position Title Assistant Bid Manager

Job Summary

AECOM's Bid Studio in Birmingham are recruiting for an Assistant Bid Manager.

Within the role the successful individual will support the Bid Manager leading the bid, developing requirements from client intelligence and issued bid documents. He/she will devise a bid programme, agree key deliverables, manage inputs from Subject Matter Experts and work with the team to drive progress through to successful submission.

The Assistant Bid Manager will work collaboratively with technical and operational colleagues, Bid Studio writers, graphic designers and the Bid Studio leadership team. The role will cover the full procurement lifecycle including EOIs, PQQs and proposals. The successful candidate will be proactive, collaborative, efficient and eager to develop professionally, noting the requirement to take a lead on occasion to prepare winning submissions.

The successful candidate will have worked in a challenging and dynamic environment, working to tight timescales and will have experience in coordinating major tenders from prequalification to proposal stages. They will have experience in working as part of a team supporting the production of tender responses, collating market intelligence and in the preparation of supporting information such as project data sheets and CVs. The role would suit a self-motivated individual looking to advance their career in a dynamic team.

The Assistant Bid Manager will support the bid team in all steps from capture management and win strategy development, through the prequalification questionnaire (PQQ) / Expression of Interest (EOI) and proposal submission to interview / presentation preparation and debrief sessions. The Assistant Bid Manager works closely with the Bid Manager to provide consistency through the process and should have a level of capability which enables them to work independently and proactively if the Bid Manager is unavailable.

Further Job Duties Include:

*

Review RFPs and other related documents and support in gathering proposal information including a list of questions, information and material required to create the response

*

Review existing content where relevant and implement the response structure

*

Prepare storyboards and content plans and chase content contributors as required

*

Write sections of the proposal and read, review, edit and finalise proposal responses from a variety of writers to ensure persuasive writing, consistency, professional standards and completion to RFP/ITT requirements

*

Coordinate the preparation of identified expression of interests, prequalification questionnaires and proposals

*

Provide support for a library of pre-written proposal content, where required

*

Assist in the preparation of presentations for specific pursuits

*

Identify and share lessons learned as inputs to the continuous improvement of the bidding process and tools

*

Provide editing and maintenance support for a repository of pre-written proposal content, where required

*

Supports colleagues in activities to develop their bidding excellence

Minimum Requirements

To be successful in this role we would like to hear from candidates with the following:

Excellent verbal and written communication skills along with experience of coordinating multi-disciplinary proposals of a high strategic value

An eye for detail, not accepting second best and taking personal pride and responsibility for all aspects within their control

Outstanding proposal writing skills and solid, basic graphic design skills; the ability to turn 'raw information' into well-articulated proposal content

A sound working knowledge of Microsoft Excel, Word and PowerPoint and Adobe InDesign

A flexible approach to supporting bids and business development activities across the UK & Ireland

The ability to work collaboratively and build credibility with senior colleagues and provide critique of others' work while maintaining positive relationships

The ability to work collaboratively with internal clients and to chase others for contributions as needed

A methodical approach to assisting in the administration and production of bids

The ability to work positively under pressure and deliver quality output to deadlines

The drive to improve and adhere to processes / systems and the motivation to contribute to and support bid teams

An experienced and efficient multi-tasker

Preferred Qualifications

* Relevant experience in the coordination and development of winning bids, preferably in the engineering, architecture, consulting environment
